Using FAOPGP
Emailing Files
FAOPGP CLS totally automates the process of sending protected files by email using an SMTP mailer so no email software needs to be installed on the server. FAOPGP CLS encrypts and digitally signs files before handing them over to the email application ensuring that a totally secure environment is maintained at all times. A compromise of your email service cannot breach the security of your encryption.
Check the 'Send output files by e-mail' box if you want FAOPGP CLS to send the protected files by e-mail (as secure attachments to the email message).
In the Subject and Message fields type in the message subject and message text that are to be sent with this message using the fields provided - note that these fields are NOT encrypted but are sent as plain text.
SMTP Settings
Press the
button to enter your SMTP parameters and who the email is to be sent to.
Profile
Enter a name here to identify the server you are connecting to. This name is purely for your own use so you can recognize what server the parameters relate to. Press the
button to save these parameters to the keystore for future use. Existing profiles can be deleted by selecting them from the pull-down list box and pressing the
button.
SMTP Server
Enter the address of your SMTP server, for example, auth.smtp.www.articsoft.com.
If you are entering a server name and port number here then this must be specified as follows : server <server name> port <port number>. If the port is missing, CLS will automatically assign it to port 21 (the FTP port).
SMTP Authentication
Check this box if your server requires authentication (i.e. a username and password to logon). The username and password fields will then become available. If your SMTP server has 'auth' specified before the smtp part of the address then you will need to enter your username and password for that account here.
From
Enter the email address that belongs to the SMTP account. This is the address that will be displayed when the person receives your emails.
To
LEAVE THIS FIELD BLANK unless you want to send encrypted files to email addresses that are not specified in recipient public keys. When sending mail messages, FAOPGP CLS automatically fills in the recipient email address(es) for you by taking that information from the recipient public keys (which contain their email address). However there may be instances when you want to email encrypted files to the same person at more than one email address, and if that is a requirement you can enter additional email addresses here. Multiple email addresses may be entered using the normal format of separating them by a semi-colon and space. For example "sales@articsoft.com; support@articsoft.com."
Email addresses can be added by pressing the
button which will cause the following dialog to display
Press the
button to add email addresses. If you want to remove email addresses, highlight them first and then press the
button.
Send e-mail only to these addresses
Check this box if the email addresses you have entered here are the only ones you want files to be sent to. If you check this box, CLS will ignore the email addresses specified in the public keys of all the selected recipients. This is useful if you want to continue using the public key of someone that has changed their email address. But be aware that using this feature means you MUST specify all the email addresses of all the recipients.
NOTE : By default, FAOPGP CLS does not email files to your default key (this is the key displayed in bold font in your keystore in the 'My own keys' tab). All files sent by email however are automatically encrypted for the default key so that you can 'recover' the originals if that becomes necessary (for auditors, law enforcement, regulators such as the SEC and so on). If you want FAOPGP CLS to email files to yourself you should either create a separate key for this purpose or, if you want to use the default key you MUST enter your email address in the TO field.
